Document types

Every document in Syndik8 carries a document type: a label that says what the document is, not who owns it. Types drive the upload form’s dropdown, the section ordering on the library, and which expiry-reminder rules apply.

Types are grouped by which owner they can attach to: an asset, the syndicate as a whole, or an individual pilot. Most types are asset-level, a few are syndicate-level, one (hangar lease) can sit on either, and two are pilot-level.

  • Members: see every type that exists in the syndicate library, plus their own two pilot types.
  • Admins: choose the type at upload time from a dropdown filtered to the owner you picked.

Types appear on the document row in the library, in the upload form’s Type dropdown, and in the document viewer’s header.

Documents that apply to the syndicate as a whole and to every asset in it.

Type What it is When it sits where
Hangar lease The lease for the hangar an asset lives in. Usually syndicate-level (the whole group rents one hangar); sits on an asset only when one member owns the lease and sublets to the syndicate.

Documents that belong to an individual pilot. Stored on the pilot’s My documents screen. Never appear in any syndicate library. See Pilot documents.

Type What it is Expiry behaviour
Medical UK CAA / EASA pilot medical certificate. Always carries an expiry. Reminders fire at 60, 30, and 7 days before expiry.
Licence Part-FCL pilot licence. Never carries an expiry. Part-FCL licences are indefinite; the ratings on them expire but Syndik8 does not model ratings.
  • The dropdown is filtered by owner. Picking asset as the owner on the upload form shows only asset-level types plus hangar lease. Picking syndicate shows only syndicate-level types plus hangar lease. The pilot upload screen never offers a dropdown; the type is pre-selected.
  • Expiry is optional, except for medicals. Every other type accepts a blank expiry. Medicals require an expiry and the upload form blocks submission without one.
  • Type can be changed on replace. When you re-upload to replace a document’s file, you can also change the Type and Title on the same form. Replacing creates a new record atomically and removes the old; there is no version history. See Replace a document.
  • Other is the escape hatch. Use Other (asset) or Other (syndicate) for anything outside the named list. Most syndicates accumulate a handful of Other documents over time; there is no penalty for using it.
