My Expenses

My Expenses lists every expense you have submitted in one syndicate, in every status, so you can see whether each one has been approved. The most recently submitted is at the top.

An approved expense is the source of an Expense Credit line on your balance. An expense still waiting for an admin, or one that was not approved, has no line on your balance at all, so this is the only place it shows.

Every member of the syndicate, viewers included, sees their own expenses here. You only ever see your own: an admin reviews other members’ expenses in the expense approvals queue, not here.

  • Dashboard tab of the syndicate, then My Expenses on the My Syndicate card. The row is there for every role, and stays while the syndicate is closed or restricted, unlike Submit Expense.
  • My Balance, then the checklist icon in the app bar (its tooltip reads My Expenses).
  • The Expense claims pending line on the dashboard’s balance card, when you have expenses waiting for approval.
  • Tapping an Expense Approved or Expense Not Approved notification, or the View My Expenses button in the email version of either.

Route: /syndicates/:syndicateId/my-expenses.

Each row shows:

Field What it shows
Amount The amount you claimed, in the syndicate’s currency.
Description What you wrote the expense was for.
Category and date The category you picked, then the expense date you set on the form (the day you paid, not the day you submitted it), in your date-style preference.
Status A chip: Pending while it waits for an admin, Approved once it has been credited to your balance, or Not approved.
Reason On a not-approved expense only: Reason: followed by what the admin wrote when they declined it.
  • Approved means credited. An approved expense has already written an expense credit to your ledger; see Transaction types. A not-approved expense wrote nothing, so there is nothing on your balance to look for.
  • The list keeps itself up to date. When an admin approves or declines an expense, its row changes while you are looking at it. There is nothing to refresh.
  • It works offline. The list reads from your device, so it shows what last reached it and catches up when you reconnect. An expense you submitted offline appears straight away as Pending.
  • Empty state. If you have submitted no expenses in this syndicate, the screen says No expenses yet instead of a list. On a device that has not finished its first sync, it says it is still syncing instead, rather than telling you there are none.
