Admin pilot-doc attention view

What it is

The attention view is what an admin can see about a member’s pilot documents. It is split across two screens, and it is the only thing admins ever see about them.

The view is passive. It is not a push notification, it is not a gate on any action the member takes, and it does not give admins any link to the file itself.

Who can use it

Admins of the syndicate the member belongs to.
Other members cannot see it. The view is admin-only.

Where to find it

Open the syndicate, go to the Admin tab and tap Members.

On the Members list, a member whose medical needs attention carries a small red medical icon at the right-hand end of their row. The icon has no text of its own; its tooltip and screen-reader label read either No medical on file or Medical expired. A member with an in-date medical carries nothing, and licences are not represented on the list at all. Two amber icons share the same slot for unrelated reasons, Direct Debit not set up and Payment KYC pending, so the red one is the only medical signal.
On the member’s detail screen, one tap in, a Pilot documents section spells the detail out as ordinary text: Medical expires {date} (or Medical on file (expiry unknown)), and Licence uploaded {date}. A member with neither reads No pilot documents on file. The section header repeats the red icon when the medical needs attention.

What the view shows

Across those two screens, an admin learns four things about the member, and nothing else:

Whether the member has a medical on file, and whether it has expired.
The medical’s expiry date, if there is one on file.
Whether the member has a pilot licence on file.
The date the licence was uploaded, if there is one on file.

Only the first of those is visible from the list. The other three need the detail screen.

What the view does not show

The attention view never includes, and the app never displays:

The certificate file (PDF / image).
The document title.
Any link to the file.
The medical class (Class 1, Class 2, LAPL, PMD).
Any limitations recorded on the certificate.
Clinical commentary, medical examiner identity, or date of birth.

An admin who taps a member lands on the member’s detail screen, not on the file. There is no admin route to the file at all.

Behaviour rules

Admin-only, server-enforced. Only admins of the syndicate receive the summary. The check happens on the server, not just in the app; a non-admin’s device is never sent it, and a request for it through any other means returns nothing. The app hides the icon and the section from non-admins as a convenience.
It updates as the member changes their documents. When a member records, re-dates or deletes a medical, uploads or deletes a licence, or withdraws consent, the change reaches the admin’s Members list and the member’s detail screen as soon as the admin’s app is online, without leaving the screen.
It is kept on the admin’s device, and works offline. The summary is stored in the app on each admin’s device so the Members list still shows it with no signal. An admin offline sees the summary as it stood when they were last connected.
Withdrawing consent clears the medical. As soon as a member withdraws consent, the summary stops reporting a medical for them, so the detail screen stops showing its date and the red icon returns, now reading No medical on file. The licence (if any) is unaffected.
A pilot in multiple syndicates is shown in each. The same medical-on-file fact is visible to admins of every syndicate the pilot is in. Joining a new syndicate makes it visible to that syndicate’s admins from day one. Leaving a syndicate removes the member from that syndicate’s summary, on its admins’ devices too, once those devices next connect.
No notification. Admins do not receive a push or email when a member’s medical changes state. The view is passive; admins look when they want to know. The member, however, gets a renewal reminder.
There is no early-warning stage. The list icon is binary: it appears when the medical is missing or already expired, and not before. An admin who wants notice of an approaching expiry has to open the member’s detail screen and read the date.
