Collect by Direct Debit

Pull what members owe by Direct Debit, either on a recurring schedule or as a one-off collection.

  • You need an admin role in the syndicate (treasurer counts as admin).
  • The syndicate payment account must be connected and the Direct Debit capability must be active. See Payments & Schemes.
  • Each member you want to collect from must have an active Direct Debit mandate. A member sets up a mandate from their Balance screen, as described in Set up Direct Debit. Until a member has signed their mandate, the runner has nothing to collect against and skips them.
  • Open the Payments hub from the admin tools, then open the Direct Debit settings.

A member must have a mandate before you can collect. To nudge one member, open that member’s detail dialog and choose Prompt to set up Direct Debit. This sends them an in-app notification, a push, and an email that links straight to setup. If their mandate is half-finished, they should start Direct Debit setup again, which sends a new consent link from the payment provider.

Prompt members one at a time. Members can also set up a mandate themselves from the card on their Balance screen without a prompt.

  1. On the Direct Debit settings, set the collection interval (for example, one month).
  2. Set the next-collection date.
  3. Save the schedule.

A daily runner checks the schedule. On the next-collection date it collects whatever each member with an active mandate owes, skips any member with nothing outstanding, and advances the date by the interval. Each collection is dated about two London working days ahead, and each member receives an advance notice before the money leaves their account.

  1. On the Direct Debit settings, choose Collect now.
  2. Review the preview, which lists the amount due per member.
  3. Confirm to start the collections.

A member is included only if they have an active mandate and an outstanding balance. Confirming collects immediately and does not change the next-collection date.

To pause collections, push the next-collection date forward to a later date. The interval and mandates stay in place, and collections resume from the new date.

To stop collections entirely, choose Stop scheduled collection. No further automatic collections run until you set a new schedule.

A Direct Debit clears over a few working days, so a collection stays in progress for a short while before it succeeds. Members can follow each payment in their Payment History. If a collection fails, the member and the admins are notified, the charges are released, and the runner retries them on its next run.
