Correct a cash call’s due date
Section titled “Correct a cash call’s due date”Picked the wrong due date, or need to move one the syndicate has agreed to shift? An admin can move an issued cash call to a different date in place. You do not have to cancel the call and raise it again.
Before you start
Section titled “Before you start”- You must be an admin (treasurer counts as admin) of the syndicate the call belongs to.
- The call must not be cancelled.
- No collection may be in flight on any of the call’s charges. If a Direct Debit has already been submitted for one, wait for it to finish.
- You must be online.
- Open the syndicate.
- Go to the Admin tab and tap Cash calls (under Money).
- Tap the call you want to correct.
- Next to the Due row, tap the calendar icon (Change due date).
- Pick the new date and confirm.
- Due date updated appears and the Due row shows the new date.
What the change moves
Section titled “What the change moves”The date is held in two places, and correcting it moves both together:
- The date shown on the cash call itself, which is what members and admins read.
- The date on every member’s charge, which is what a Direct Debit collection actually runs on.
So collection follows the corrected date. Bring a date forward and the charge falls due sooner; put it back and nothing is collected until the later date arrives. The Cash call due soon and Cash call overdue reminders follow the new date too.
Moving the date does not touch the amounts, the split, or who is charged. Cancelled charges on the call keep in step with the call’s date, but stay cancelled.
Who is told
Section titled “Who is told”Every member who still has something to pay on the call is told that the date moved, under the same Cash call issued notification they already control on their notification preferences. The message names both days, so it reads as a correction rather than a second demand, and it opens the cash call when tapped.
Three groups are deliberately not told: the admin who made the change, anyone whose charge on the call has been cancelled, and anyone who has already paid their share in full. The date is no longer news to any of them, and a message naming a due date reads as a fresh demand to somebody who owes nothing. A member who has paid only part of her share is still told, because the rest still falls due on the new day. Re-saving the same date sends nothing at all.
If it goes wrong
Section titled “If it goes wrong”- There is no calendar icon next to the Due row. Either you are not an admin of this syndicate, or the call has been cancelled. A cancelled call is not collected from anybody, so there is no date left to correct; issue a new call instead.
When the change itself is refused, the screen says why, under Could not update the due date. Nothing is changed in any of these cases.
- A charge on this cash call is being collected. A payment or a Direct Debit collection is holding one of the call’s charges right now. That member has already been told which day the money will leave their account, so the date is held until the collection finishes. Wait for it to complete or fail, then try again. See Direct Debit.
- This syndicate is closed and read-only. A closed syndicate’s ledger is frozen for everyone, admins included. Reinstate the syndicate inside its retention window if the date genuinely still needs correcting; see close a syndicate.
- Only syndicate admins can change a cash call due date. The rule is enforced on the server as well as in the screen, so this is what a request that got past the interface is told.
A syndicate that is read-only because it is over its free plan can still have a due date corrected. Correcting a date is tidying up an existing demand rather than new spending, which is what that state blocks.
